1. Acceptance of terms
By registering an account, accessing the website or using the XYZ All In One Invoice application ("the Service"), you agree to be bound by these Terms & Conditions. If you do not agree, please do not use the Service.
These terms apply to all users, including business owners, team members and anyone who receives or pays an invoice or quotation created through the Service.
2. Definitions
"Business" means the company or sole trader that owns the account and the data they create.
"Customer" means any person or business that receives an invoice, quotation or payment request from a Business using the Service.
"User" means any person authorised to access an account, including the owner and invited team members.
"Payment Provider" means the third-party payment gateway used to collect card or electronic payments, such as Yoco.
3. Description of the Service
XYZ All In One Invoice is a cloud-based invoicing and business management tool. It allows Businesses to create and send invoices and quotations, record payments, manage customers and products, set up recurring billing, view reports, and receive notifications.
We may update or change features from time to time. We will try to give reasonable notice of material changes that affect how you use the Service.
4. Account registration and security
You must provide accurate information when registering and keep it up to date. You are responsible for maintaining the confidentiality of your login credentials.
You are responsible for all activity that occurs under your account. Please notify us immediately if you suspect unauthorised access.
Accounts are for the named Business. You may not resell, share or transfer access outside your organisation without permission.
5. Your data and privacy
You retain ownership of the customer, product, invoice, quotation and payment data you enter. We only use it to provide and improve the Service.
We process personal data in accordance with our Privacy Policy. Every record is scoped to the Business that created it.
You must ensure you have the right to store and share any customer data you upload, and that your use of the Service complies with applicable data-protection laws.
6. Fees, billing and payment processing
Subscription fees are charged according to the plan selected in your account. The base plan includes one business; additional businesses are charged separately.
Payments for subscriptions are processed through our Payment Providers. By subscribing, you agree to their terms and privacy policies.
The Service also allows Businesses to request payment from Customers. Those transactions are between the Business and the Customer and are governed by the Payment Provider's terms. We do not store card details.
7. Prohibited use
You may not use the Service for illegal, fraudulent, abusive or harmful purposes. This includes sending unsolicited email, uploading malware, infringing intellectual property, or processing payments for prohibited goods or services.
We reserve the right to suspend or terminate accounts that violate these rules.
8. Limitation of liability
The Service is provided on an 'as is' and 'as available' basis. To the maximum extent permitted by law, we are not liable for indirect, incidental, special or consequential damages arising from your use of the Service.
Our total liability for any claim relating to the Service in a 12-month period is limited to the total amount you paid us for the Service during that period, or R1,000, whichever is higher.
Nothing in these terms limits liability that cannot be excluded under applicable law.
9. Termination
You may cancel your subscription and close your account at any time from the app settings or by contacting us.
We may suspend or terminate your account if you breach these terms, fail to pay fees, or if required by law.
On termination, your data will be retained for a reasonable period to allow export or recovery, then deleted in accordance with our data-retention practices.
10. Governing law
These terms are governed by the laws of the Republic of South Africa. Any dispute will be resolved in the courts of South Africa, where both parties consent to jurisdiction.
11. Changes to these terms
We may update these Terms & Conditions from time to time. The current version will always be available on this page. Significant changes will be communicated in the app or by email.
